Privacy Policies – Terms and Conditions

Your privacy is important to us and that is why we wish to make clear, in this Privacy Policy, how we collect, use, disclose and protect your personal information. This policy sets out the way in which we comply with our obligations under the Privacy Act 2020 (NZ). This Policy document should be read carefully. Please check our website regularly as we may update this Policy from time to time and any such changes will be posted on the website.

Collecting your personal information

Personal information we may collect from you: Name; Email address; Phone / Mobile number; Address (permanent, correspondence, or billing address) details; Profession, Occupation, Organisation or Company or Institute details, Job title, Field of interest; Computer or network locations; Conference or other event’s attendance information; Payment information i.e. credit/debit card numbers (when you register for membership and/or pay for some products and services for examples conference registration, consultancy services, training courses, publication services.); Details of your interactions with us, for example, when you contact us regarding member services, consultancy services, events and Jobs posting; Information regarding your interest in our e-newsletters, publications, magazines; Information regarding your interest in our services such as testing services, consultancy services; Information on what pages you access and information provided to us by you via surveys and site registrations.

Data we collect to manage your TexMat membership
At membership checkout, we will collect your name, email address, username, and password. We may also collect your address, profession, company/organization/institution details, job titles. This information is used to set up your account for our site. If you are redirected to an offsite payment gateway to complete your payment, we may store this information in a temporary session variable to set up your account when you return to our site. At membership checkout, we may also collect your billing address and phone number. This information is used to confirm your credit card. The billing address and phone number are saved by our site to prepopulate the checkout form for future purchases, and so we can get in touch with you if needed to discuss your order. At checkout, we may also collect your credit card number, expiration date, and security code. This information is passed to our payment gateway to process your purchase. The last 4 digits of your credit card number and the expiration date are saved by our site to use for reference and to send you an email if your credit card will expire before the next recurring payment. When logged in, we use cookies to track some of your activity on our site including logins, visits, and page views.

We collect personal information from you in a number of ways, such as when you: Become a TexMat’ Regular, Student, or corporate member; Access our websites: https://texmatresearch.com/, Newsletters, Magazines, and publications; Register to attend events including conferences, courses, webinars and other activities; Contact us about and/or use our Member Services or other services such as consultancy services, publication services, custom testing services; Make enquiries about or apply to be a part of our programmes (whether for yourself or on behalf of an organisation you represent) including conferences, webinars, seminars, training events, forums, workshops, or otherwise engage with us.

We may collect information about your IP address, location or activity; Some of our websites’ information is collected using cookies, which don’t personally identify you but do identify your browser. You can set your browser to refuse cookies, but this may mean you won’t be able to take full advantage of our website; We also use Google Analytics to monitor search behaviour and measure traffic flows. Information on how Google collects, and processes data can be viewed at https://policies.google.com/technologies/partner-sites (or any other link Google may provide from time to time). Google Analytics permits us to reach people who have previously visited our site, and show them relevant advertisements when they visit other sites across the Internet in the Google Display Network.

Personal information we collect from third parties

We may collect your personal information from third parties where: You have authorised us to do so; You have authorised others to disclose your information to us; It is publicly available; It will not be used in a form in which you are identifiable.

How we use your personal information

We may collect your personal information in order to: Perform our activities; Process membership applications, changes and renewals; Verify your identity and contact details; Conduct any events and send you information regarding such events; Distribute publications, newsletters, magazines and promote our products and services or carry out other promotions or marketing; Communicate to individuals and provide requested products or services; Manage the safety and security of our Members and other users; Personalise and customise your experience; Operate our websites; Provide you with access to secure areas of our websites; Improve our websites; Communicate with you electronically including via email, phone, or text; Send you information regarding opportunities, benefits of membership, updates, and newsletters; Conduct our own competitions and promotions or on behalf of selected third parties; Carry out any other transaction or activity as a result of the performance of our role as an organisation providing, services, products and benefits to our Members and to others; Post content on our social media account(s); Carry out and comply with our administrative, business, and legal requirements including, but not limited to, administration of the Member products and services we make available to you; Undertake analysis and research to ensure that we provide you with the best possible Member Services; and Staff training.

Certain information collected from you and about you is used within the context of providing our services to you. TexMat Research employs other companies to perform tasks on our behalf and may need to share your information with them to provide products and services to you. TexMat Research may also share your information to provide products or services you’ve requested or when we have your permission. If you request a password reset, your IP address may be included in the reset email.

Note: Where we require your personal information for another purpose outside the above list, we will notify you of how this information will be used.

Disclosing your personal information to third parties

We will only disclose your personal information to third parties where: Disclosure is in connection with the purpose for which your personal information was originally obtained or directly relates to this purpose; Where you have authorised the disclosure; or Where disclosure is otherwise permitted under the Privacy Act.

We may disclose your personal information to: Members of the Executive Committee, employees, contractors, and agents; Other delegates and third parties as part of the delegate list (when you have registered for any TexMat events); Third parties utilised by us to undertake services (and only to the extent required to fulfil those services); Sponsors; Strategic partners; Exhibitors; and Guest speakers.

We will only disclose your personal information to trusted third parties (national and/or international). We impose strict conditions on third parties’ use of your personal information and require them to keep your personal information confidential.

Protecting your personal information

We are committed to keeping your information safe. We take all reasonable steps to protect the personal information that we hold from misuse, loss, unauthorised disclosure, or access. If you suspect your personal information may no longer be secure or has been compromised, please let us know immediately.

Updating / correcting your personal information

We ask that you please ensure that all personal information you provide us with is current, complete, and accurate. If, however, you would like us to update/correct your personal information you have the right to ask for this to be corrected, and you can contact us by email (texmatresearch@gmail.com). If your personal details change, we encourage you to send us an email to update your details. Holding up-to-date information helps us to provide better services to you. It is important that you keep your information as current as possible so that we can continue to improve our services.

Consequences of not providing correct information

If we believe that the information you provide is not current, complete, or accurate, we may have the right to: decline access to information, services, and/or resources; deny access to certain parts of the TexMatResearch website/s; decline your application for TexMat membership or applications for Event registrations until current, complete, or accurate information is provided; refuse registrations for Events.

Consequences of not providing requested information

If you do not provide to us, or authorise us to collect from a third party, the personal information we have requested, Members may not be able to enjoy Member rights and benefits, and we may not be able to provide you with our services, including but not limited to: Notification of and registration to Upcoming events; Access to the online services; A response to your queries or requests.

Accessing your personal information

You have the right to ask us for a copy of any your personal information that we hold. If you would like a copy of your personal information, please contact us by email (texmatresearch@gmail.com).

How long we hold your personal information

We will not keep your personal information for any longer than is required to carry out the purposes for which the information was obtained.

Membership- Payment and cancellation policy

  1. All transactions are in NZD and inclusive of tax.
  2. You can claim the “Student Registration” rate if you are enrolled on a full-time or part-time undergraduate or postgraduate course. This rate also applies to Ph.D. students. Proof of student status is required. Please send a scan copy of Student ID card to the email (texmatresearch@gmail.com).
  3. Payment must be made at the end of the membership registration process by credit/debit card; a receipt will be emailed with your confirmation.
  4. If payment is not made, the registration process will not be completed and your registration details will not be saved.
  5. All credit/debit card payments for registrations may incur a surcharge to cover processing of payments.
  6. TexMat Research New Zealand will not provide a refund for cancellations of membership before the membership expiry date.

Conference- Payment and cancellation policy

  1. All transactions are in NZD and inclusive of tax.
  2. You can claim the “Student Registration” rate if you are enrolled on a full-time or part-time undergraduate or postgraduate course. This rate also applies to Ph.D. students. Proof of student status is required. Please send a scan copy of Student ID card to the email (“texmatresearch@gmail.com” or “event@texmatresearch.com”).
  3. Payment must be made at the end of the event registration process by credit/debit card; a receipt will be emailed with your confirmation.
  4. If payment is not made, the registration process will not be completed and your registration details will not be saved.
  5. All credit/debit card payments for registrations may incur a surcharge to cover processing of payments.
  6. Early conference registration fees offers are only valid to the date specified on the event registration fees table.
  7. TexMatResearch New Zealand will not provide a refund for cancellations to the event, and/or for any delegate or attendee who does not attend an event on the day/s.
  8. In the unlikely event that an event program is cancelled for reasons outside our control, TexMat Research New Zealand will provide a full refund. Refunds will be processed after the date of the event.

Note: TexMat Research New Zealand reserves the right to add to or amend the advertised event program.

Note: There may be instances where a speaker or presenter is no longer able to attend/present, and TexMatResearch New Zealand may substitute the speaker or amend the program accordingly.

Donation- Payment and cancellation policy

  1. All transactions are in NZD.
  2. TexMat Research New Zealand will not provide a refund for any donation amount/payment.
